After extending an initial oral offer to your top candidate, it's time to submit a well written employment offer. Typically sent before unforeseen circumstances as a background check, but before signing an official employment contract, this letter formally states a job seeker, summarizes the main terms and conditions of the offer and provides details of the role and company to help a candidate determine whether the offer must be accepted or not. It can also serve as a starting point for employment negotiations.

If the candidate accepts your offer, they will sign the letter and return it to you. However, it's important to understand that an offer letter isn't always a legally binding employment agreement. This is typically a separate document that provides detailed legal protection for both parties. Once again, it's a good idea to get a legal professional review of your offer letter before sending it to a prospective employee to make sure you are protected.

What to include in a job offer letter

The letter confirms the details of the offer of employment and may include:

2. Send an email to make a phone call.

Try not to send them a "yes or no" email or make an outward call asking them to make a decision. Send an email setting up a time to get their thoughts on an offer.

3. Call and make an informal offer.

You want to get to this point pretty quickly. Don't go so fast that it makes you seem desperate, but if you can get them from applying to bid for 2 weeks, you beat most competitors to the punch.

4. Submit your formal offer.

This will include detailed information such as the job description and compensation package that they accept.

5. Give the news to the people you haven't hired quickly.

Don't overlook this part. It's an important part of employer branding - treating candidates you've passed well and you may be able to tap them again when the right position opens or get referrals from them in the future.
