ROLES AND RESPONSIBILITIES

My job duties were to:

1) Provide complex administrative support to department director staff

2) Compose, edits and proofreads letters, memos, reports, surveys, flyers and other documents

3) Acts as office manager & takes the lead in training administrative staff within the department on city and department policies practices

4) Acts as secretary for the parks, recreation, and community services commission, updates forecasts and coordinates agenda items, posts distributes agendas, prepares setup for commission meetings, prepares handouts, drafts minutes, maintains all communication with commission

5) Research, compiles, and organizes data for projects and reports, creates and maintains forms, logs, and tracking systems, maintains office files retention schedules

6) Assist internal and external customers with inquiries regarding city policies, procedures, and functions, responds to resolves customer complaints in a professional manner

7) Schedule meetings, reserves meeting rooms, prepares travel arrangements, maintains various calendars for the department

8) Receive, sorts, and processes mail for distribution

9) Review and processes invoices for payment assists with development of the department budget

10) Identify issues and works with director staff in developing solutions to operational issues within department

11) Provide coverage for division secretaries department phones as needed
