This job description describes core job duties of receptionist occupation.

Main Job Roles / Career Tasks:

1) Ensure the efficient operation of the telephone switchboard, answering diverting calls in a professional manner.

2) Greeting of visitors and control of all sign in/out badges inform visitors of the safety precautions.

3) Logging/handling & distribution of all incoming mail franking/arrangement of all outgoing mail.

4) Process staff holiday requests ensure records are maintained in line with hr processes.

5) Arrange meetings, catering, taxis booking meeting rooms when requested by personnel.

6) Take on a pivotal role in the event of fire evacuation through telephone/visitor log.

7) Assist facilities during weekly testing of fire alarms.

8) Ensure the distribution of office meeting room keys is recorded in the log book.

9) Ensure that there is an adequate supply of stationary by the mail shelves.

10) Ensuring control of company pool car, logging in/out.

11) Maintain staff telephone list and ensure it is uploaded to intranet distributed to all personnel.

12) Carry out administration tasks like scanning, faxing, up-dating manuals, and formatting documents.
